How Workspace Sync works
Three parts: a read-only connection to Google Workspace, your access and field rules, and the app on your team's phones.
Workspace Sync has three parts. Only the first one takes any effort, and only once.
1. Google Workspace is read, never written
An admin links your Google Workspace with a service account that has a single read-only permission: it may list the people in your directory. It cannot change anything in Google Workspace, and it never tries to. The setup takes about ten minutes; the setup guide walks through it step by step.
2. You decide who and what
In the admin dashboard at app.workspace-sync.com you control two things per person and one thing per field:
- App access: whether this person can sign in to the mobile app. This is what you pay for.
- In directory: whether this person appears in the directory other people see.
- Fields: which details reach the phones. Many companies switch addresses off and keep phone, title and department.
Groups come along for free: department groups mirror Google Workspace, and you can add custom ones.
3. Your team installs the app
Employees install Workspace Sync on iOS or Android and sign in with their work Google account. They see the directory immediately, filter it by group, and can save a whole group into their phone’s address book in one tap. From then on the contacts behave like any other contact on the phone, including offline.
Staying current
Workspace Sync re-reads your directory every hour. An admin can also press Sync now at any time, for example right after onboarding someone. When a person leaves your Google Workspace, they disappear from the directory on the next sync. Nobody has to do anything.
