Company contacts in your phone

Let the app keep your colleagues in your phone's own Contacts, so their names show when they call. It keeps them up to date and never touches your own contacts.

Step by step

After you sign in, the app offers: Your colleagues, in your phone. Tap Turn on and allow access to Contacts, and the app puts your company directory into your phone’s own Contacts app. Tap Not now and nothing is added; the directory stays in the app.

Your company’s admin can switch this feature off for everyone. If they have, you won’t see the offer or the switch.

Where they go

  • iPhone: in a group called Workspace Sync, in iCloud if you use it, otherwise on the iPhone itself. Never in a Google or Exchange account. Each colleague carries a small Workspace Sync link; that’s how the app knows which contacts are its own, and tapping it opens the colleague in the app.
  • Android: in a Workspace Sync account of its own, beside your Google account. Nothing is added to your Google account.

Each colleague gets the details your company shares in the app: name, company, job title, department, work email, phone numbers, work address and photo. The number you chose with Use by default comes first.

Kept up to date

The app updates these contacts when you open it (at most every 30 minutes) and about once a day in the background (on iPhone, when iOS allows it). New colleagues are added, changed details are updated, and people who leave the company are removed.

These contacts follow the company directory. If you edit or delete one, the app puts it back the way the directory has it at the next update. To change a detail, ask whoever manages Google Workspace at your company.

Your own contacts are safe

Contacts you saved yourself are never changed or deleted, even if they are the same people. The app only touches the contacts it added.

Turning it off

Open the Account tab and switch off Company contacts in your phone. The app removes the company contacts straight away.

They are also removed when you sign out, when your access ends, or when your company stops using Workspace Sync.

Before you delete the app, turn the switch off. On iPhone, contacts the app added stay in your Contacts after the app is deleted, because nothing is left to remove them. The same happens if you take away the app’s access to Contacts in the phone’s Settings: turn the switch off first.
