Quick start for admins

The fastest path from nothing to a working directory on your team's phones, in five steps.

Step by step

Each step links to the page that explains it. Setup takes about 15 minutes.

Have a Google Workspace super admin do the setup. The first person from your company to sign in to Workspace Sync becomes its admin, and Workspace Sync reads your directory on behalf of the person who saves the key, so that person must be a super admin in your Google Workspace. If someone else already signed up, the super admin signs in too and chooses Join as admin: until Google Workspace is connected, they can join and connect it, and the first admin stays an admin.

  1. Connect your Google Workspace. In Settings → Connection, the Setup guide takes you through creating a read-only service account, authorising it and uploading its key. Save Credentials runs the first sync. The setup guide page has every step.
  2. Decide who gets the app. Open Contacts and turn on App access for the people who should have it, then press Save changes. Shared mailboxes, service accounts and external collaborators stay off. See App access and directory visibility.
  3. Choose which fields are shared. In Contacts → App view, turn off anything you don’t want on employees’ phones, addresses for example. See Choose which fields are shared.
  4. Tell your team. Ask people to install the app and sign in with their work Google account. Settings → Team has the store links, QR codes and a Copy invite message button; or send them the team quick start.
  5. Check your plan. Workspace Sync is free for up to five users. When you give a sixth person App access, you’ll be asked for a payment method, and from then on every user is billed. See Pricing and the Free plan.

Once connected, the directory keeps itself current. Optional extras when you’re ready: Groups and the Sync company contacts to phones switch in Settings → Features (How syncing works).
